Refund and Cancellation Policy

Welcome to our practice. By booking, scheduling, or receiving telehealth and in-person home services through our website, you agree to the terms outlined in this policy.

 

1. Payment Processing and Authorization

All transactions are processed securely through our third-party payment gateway. By providing your payment information, you authorize us to charge your card for the agreed-upon fees.

 

2. Cancellation and Rescheduling

  • Telehealth Services: You may cancel or reschedule your virtual appointment at least 24 hours before your scheduled start time. Cancellations made within 24 hours of the appointment may be subject to a late cancellation fee.

  • In-Person Home Services: Because travel and on-site scheduling are involved, cancellations for home visits must be made at least 24 hours prior to the scheduled arrival window. Late cancellations within this 24-hour window may forfeit the visit fee or incur a non-refundable trip charge. [1]

 

3. No-Show Policy

If a patient fails to show up for a scheduled telehealth session or is not present at the agreed-upon home address for an in-person visit, the appointment will be considered a "No-Show." No-show fees equivalent to the cost of the session will be charged to your card on file and are non-refundable.

 

4. Refund Eligibility

  • Services Rendered: In accordance with standard medical practice and state regulatory guidelines, no refunds will be issued once a clinical consultation, therapy, or in-person service has been completed. If you are unsatisfied with the care received, please contact us directly to address your concerns.

  • Canceled Appointments: If you cancel your appointment within the allowable 24-hour window, any pre-paid fees for that appointment will be fully refunded.

5. Insurance and Billed Services

If your services are billed directly through Montana Medicaid or private insurance, this refund policy applies only to the patient portion (e.g., deductibles, co-pays, or co-insurance) Coverage for telehealth services -- rulemaking, MCA. If insurance subsequently denies a claim, you remain financially responsible for the full cost of the rendered services, as permitted by Montana Healthcare Programs Provider Guidelines. [1]

 

6. Processing Refunds

Approved refunds will be credited back to your original payment method. Please allow 5 to 10 business days for the refund to appear on your statement, depending on your financial institution.
